Public Art Coordinator and Administrative Assistant

40 hrs Per Week (FTE)

$15/hour plus benefits

Hour Allocation : Arts Missoula (20hrs), City of Missoula Public Art (10hrs), SPARK! Arts Ignite Learning (10hrs)

Job Description: This position functions as an administrator, communications coordinator and as event/project support for both Arts Missoula and SPARK! Arts Ignite Learning. This role is also responsible for facilitation and administration of the City of Missoula Public Art Committee.

Preferred Skills/Background:

  • Interest/Passion for Art, Arts Education or Public Art!
  • Bachelor’s Degree in [Art, Communication, Media, Marketing, Event Planning, Public Admin, Nonprofit, or similar experience], background in administration preferred
  • Knowledge of current PC programs & Microsoft Office
  • Understanding of Google Drive & Google programs
  • Social Media Marketing knowledge
  • WordPress & Squarespace platform knowledge preferred
  • Ability to manage multiple projects with different groups of people simultaneously
  • Ability to successfully manage time and split appropriately between Arts Missoula/Public Art/SPARK!
  • Ability to communicate clearly orally and in writing
  • Proficiency in basic office equipment
  • Typing/Note Taking proficiency
  • Proficiency in web, computer systems
  • Ability to function as a professional often representing the City of Missoula
  • Ability to be flexible within job description and willingness to switch tasks/people you are working with quickly within a day
  • Ability to be self-starting on projects with little direction
  • Ability to organize large amounts of paperwork online & printed

Public Art Committee: Committee Administration and Facilitator between Committee/Public/City of Missoula

  • Attend & Prepare for Monthly PAC Meetings and all Subcommittee meetings, prepare agendas for these meetings.
  • Edit minutes from meetings and submit to for approval
  • Monthly Blog Posts and eNewsletter
  • Keep Website Up-To-Date ( as well as social media accounts
  • Keep Google Drive Up-To-Date
  • Regular Communication with employees with City of Missoula
  • Assist in getting Press Release info to City of Missoula & media outlets
  • Assist with managing art funds and money management
  • Act as a go between for PAC meeting guest and artists

Arts Missoula: Office Administration, Event/Project Support, Communications

  • Office maintenance (Order office supplies as needed)
  • Answer Phone Calls, take messages, check messages, transfer phone calls to staff
  • Regular e-Newsletter
  • Social Media Platform Management (Facebook, Instagram)
  • Update Arts Missoula Website as necessary (
  • Monthly Blog Posts on Arts Missoula Website
  • Update and Management of Airtable Database
  • Take & Edit Minutes for all Arts Missoula Board meetings
  • Assist with planning of FIRST NIGHT MISSOULA

SPARK! Arts Ignite Learning: Communications, Administration of online platforms, Event/Project Support

  • Manage social media accounts (Facebook, Instagram)
  • Monthly eNewsletter
  • Data entry
  • Communications Committee Member
  • Update SPARK! website
  • Occasional Event Support (National Arts in Education Week, SPARK! Showcase)
  • Duties per Director’s request…
